The Museum of the History of Polish Jews in Warsaw has won an international competition for the best museum in Europe. On this occasion, the Museum organized a conference dedicated to other European museums. The final of the conference was planned for October 2018. In connection with this event, we had the pleasure of creating a ticket reservation system, managing the participants and organizing the event for MHPJ.
No optimal system enabling the guest management
Preparation of the system for making reservation and managing participants of the event.
The project leaders presented their problem to us. We have made a detailed analysis of the registration rules for participants. Analyzing the target group, we have developed a plan of how best to design a form and registration path so that a person of any age could easily make a registration.
We have prepared a detailed specification of the system operation with functional models.
After fine-tuning and accepting the models and specifications we have prepared a graphic design.
The core (back-end) of the system was created at the same time. After the front-end, i.e. coded views, was prepared we combined the system components together.
We have run detailed tests for functionality, performance and security.

The system consists of two parts. The first one is the registration form, which is visible to the users of the website. The second one is an administration panel for museum employees.
After visiting the website, users can fill in a form to register. The registration has four steps. Visible fields are fully configurable from the administration panel. After having completed all steps, the user chooses a payment method. If the user chooses an online payment, he or she is automatically redirected to the payment processing system.
The first module in the administration panel is responsible for managing this form. The administrator decides which fields and with what content is visible to the users. There is also a module with which the administrator can add, edit and delete fields. The administrator can also create requirements and dependencies between them. After saving the actions, the form on the website is immediately refreshed.
The second module is responsible for reservation management. The full list of visitors is displayed here, with a possibility of editing and deleting orders. There is also an option of adding a reservation manually in case someone makes it by phone. The module allows for the use of the search engine to make the search easier and faster. The whole reservation or selected items can be exported to a file or printed.
The payment management is directly connected to the registrations. Here the online payments can be tracked and the traditional ones approved.
The administrator has the possibility to manage discounts. These may include time discounts and/or discounts depending on the number of people. The system takes into account discounts and automatically updates the basic price that is displayed to the user during the registration process. The registration panel can only work in certain hours, because the administrator has full control over its visibility. In the case of hourly limitations, the system automatically activates and deactivates the form.
A special requirement on the part of the customer concerned the system security, modelled on the strength of IT protections of the banks. We have risen to the challenge and introduced such security solutions. In order to increase the security, access for employees is determined by an extensive system of rights.
